Program Support Asst (OA)

Prepares personnel action forms for appointment, promotions and terminations and appointment/reappointment credentialing/privileging packages for physicians and house staff. Initiates key/lD requests and other actions necessary to process new/rotating house staff. Issues terminating staff clearance of duty station forms and instructions regarding clearance procedures. Reconciles purchase card orders on a timely basis (within five days of charge) and takes independent action to resolve problems with vendors to reconcile or otherwise close out incomplete purchase orders. Keeps fund control official informed of any major or recurring problems with vendors or purchasing process. As requested, provides administrative support to assist in budget analyses. Travel arrangements for physician staff, submitting all necessary documentation prior to and following travel assignments to appropriate units Prepares responses to requests for letters of recommendation on former staff when letters are available in their files Incumbent schedules clinic appointment(s) using Veterans Health Information Systems and Technology Architecture (VistA) scheduling options. Uses established business rules to schedule appointments for veterans. Assists the Medical Service administration by preparing and maintaining, electronic and hardcopy training logs and records. The incumbent independently gathers data and makes recommendations pertaining to the objectives, priorities, and deadlines assigned by Medical Service leadership. Coordinates and confirms room assignments for training sessions; works with maintaining CME records for attending and house staff. Other clerical/administrative duties:
receives visitors and phone calls, personally provides information requested or directs to staff members those contacts that require attention or action; maintains files in accordance with VA policies and procedures. Receives and screens telephone calls and visitors, refers callers to appropriate individuals or services. Personally, handles administrative inquiries that do not require the attention of the professional staff. Handles complaints or inquiries of Veterans who visit or call the administrative offices, resolving these when possible or referring them to the appropriate service/section chief(s) or other staff. Must be aware of patients' rights and exercise, tact and empathy. Receives and controls mail, routing items directly to the appropriate staff. Assembles background information for use in preparing replies before routing mail to service/section chief(s) and notifies them of impending delays and their reasons. Prepares replies to routine correspondence independently for the signature of the appropriate service/section chief. Performs other duties as necessary. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Timekeeping, management of service fund control points, maintaining workload entry and patient information files, preparing monthly meetings for staff, and chief of the department and performs administrative duties that do not require the attention of the professional staff? The incumbent's work requires some walking, standing, bending and the carrying it items such as books and papers that are considered to be light in weight (approximately 20 lbs.) The work is performed in an office that is located in a healthcare Setting and therefore Includes the risk of daily contact with ill, irate, verbally abusive and potentially violent patients and/or their families. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
